RevHQ AI Coaching Platform Privacy Policy

1. What this policy covers
This policy covers the RevHQ AI coaching platform (app.revhqai.com), a sales coaching platform that analyzes audio recordings of sales conversations using artificial intelligence. It supplements the RevHQ AI Privacy Policy, which covers every RevHQ AI product.
The coaching platform is operated by RevHQ AI (Revenue Command Center LLC), 1327 Grandin Rd SW, Roanoke, VA 24015-2349. Questions: support@revhqai.com.
2. Information the coaching platform collects
- Audio recordings and call transcripts uploaded through the Service or received from connected telephony and meeting tools.
- Transcripts generated by Fireflies.ai.
- AI coaching outputs, including scores, summaries, and feedback.
Account data, recordings, transcripts, and results are stored in our application database and cloud storage.
3. How the coaching platform uses it
- To generate AI-driven coaching insights.
- To troubleshoot platform issues and provide support.
4. Service providers
The coaching platform uses the outside service providers below. Each one receives only the information described here, and only to provide the product to you. The list for every RevHQ AI product is at revhqai.com/service-providers.
- AI model providers (currently: OpenAI): Analyzes transcripts to produce coaching results. Receives: transcripts and call details.
- Aircall: Connects your phone system so calls can be analyzed. Receives: call details, phone numbers and call recordings.
- Fireflies.ai: Transcribes call audio. Receives: call audio, speaker names and transcripts.
- Render: Hosts the service that sends transcripts for AI analysis. Receives: transcripts and coaching results, in transit.
- Resend: Sends the email notifications you turn on. Receives: your name and email address, and a summary of the coaching review.
- Stripe: Processes subscription payments. Receives: name, email address and payment details.
- Supabase: Hosts the application database, sign-in and file storage. Receives: account details, call audio, transcripts and coaching results.
- Vercel: Hosts the web application. Receives: your IP address and request details.
Services that receive information only at your direction, when you turn them on:
- Salesforce: Reads contacts and tasks, and receives coaching results, when you connect your CRM. Receives: contact and task records, and coaching results.
If you connect your own CRM, such as Salesforce, we send coaching results to it at your direction.
5. How long we keep it
- Account data, transcripts, and coaching results are kept for as long as your account is active.
- Audio recordings are deleted from our storage 60 days after upload.
- Operational logs are generally deleted after 90 days.
- You may request earlier deletion by emailing support@revhqai.com.
